Most exhibitors plan trade show furniture one show at a time. A new order, a new catalog, a new set of forms for every convention center. That works for one or two shows a year. For a team running eight or ten shows across the country, it means the booth looks different in every hall, costs are hard to track, and someone on your team spends weeks every year redoing the same work.
Here’s how exhibitors with a full show calendar plan it instead.

Start with the season, not the show
Put every show on one list: city, venue, dates, booth size, and move-in and move-out windows. Once the whole season is in view, patterns show up. Two shows three weeks apart on the same side of the country can share one furniture package. A 20×20 in one hall and a 10×20 in another can use the same core pieces, with the smaller booth taking a subset.
A vendor who sees the full season can plan inventory and freight around it. One who only sees one show at a time can’t.
Decide what has to match
Not everything in the booth needs to be identical from show to show, but the parts attendees remember should be: the lounge, the bar or demo counter, and anything branded. Settle this up front:
- Core pieces stay the same at every show. These carry the brand.
- Flex pieces scale with booth size, such as extra seating, cocktail tables, and charging.
- Branded elements like counter wraps and graphic panels are printed once and reused wherever possible.
Know how each hall works
Every convention center has its own rules, and they change what a trade show furniture order really costs:
- Material handling (drayage). At many halls, freight moving to and from the booth is billed separately by the show’s general contractor, usually by weight. Heavy furniture shipped in adds up.
- Labor rules. Some cities have union jurisdiction over install work, and the rules differ from hall to hall. Ask your vendor how they handle it in each city on your list.
- Move-in windows. Tight windows favor vendors whose crews can install quickly and know the building.
A furniture vendor who works these halls regularly will build these costs and rules into the bid, instead of leaving them for your team to discover on site. The International Association of Exhibitions and Events (IAEE) is also a good source of exhibitor education on show logistics. (Example: what matters at the Indiana Convention Center.)
Consolidate vendors where you can
Every added vendor is another contact, another invoice, and another thing to go wrong on move-in day. For a show season, the goal is one vendor for furniture, branded counters, and printed graphics, with one person who knows your whole calendar. That person catches problems before the show, like a counter that won’t fit a smaller booth or dates that overlap.
Trade show furniture questions to ask for a full season
- Can you supply every show on our list from your own inventory?
- Will the same core pieces travel with us, or will each show be sourced locally?
- Who installs at each hall, and how do you handle union jurisdictions?
- Can branded pieces be printed once and reused across the season?
- Who is our single contact for the whole calendar?
Frequently Asked Questions
Can one vendor supply furniture for every trade show in our season?
Yes, if the vendor owns its inventory and delivers nationwide. Sharing your full show calendar up front lets the vendor plan inventory and freight across the season instead of one show at a time.
What is drayage and how does it affect furniture costs?
Drayage, or material handling, is the fee many convention centers charge through the show general contractor to move freight between the dock and your booth, usually billed by weight. Heavy furniture shipped in increases it, so ask vendors how they account for it.
Can branded counters and graphics be reused across shows?
Yes. Wraps and graphics produced for reuse can travel from show to show, which keeps the booth consistent and avoids reprinting for every event.
Who installs furniture at halls with union labor rules?
Labor rules differ by city and venue. Ask each vendor how they handle install at every hall on your calendar so there are no surprises at move-in.
