A communal bar table is a long, bar-height table that gathers a group of standing guests around one shared surface. At conferences and corporate receptions, communal bar tables turn an open networking area into a place where people stop, set down a plate or a laptop, and talk. Our Bali communal bar tables are 72 inches long, 26 inches deep, and 42 inches high, and they line up end to end for longer runs.
This guide covers what planners ask most about communal bar table rental for large events. It walks through five planning decisions: how many tables to order, whether to add stools, how to lay out a networking area, which finish to pick, and what your venue will want to know.

Where communal bar tables work at a conference
A communal bar table rental earns its space anywhere people gather for a short time and need a surface. Common spots at large conferences include networking breaks outside general sessions, welcome receptions, sponsor and partner lounges, expo hall cafés, hospitality suites, and overflow space near registration.
They do a different job than a cocktail highboy. A highboy holds two to four people. A six-foot communal table holds a small group, gives everyone room for a plate and a drink, and makes it easy for a stranger to join a conversation. Many planners use both: communal tables as anchors and illuminated high boys or standard highboys in between.
How many communal bar tables do you need?
Start with how many people will be standing in the space at its busiest moment, not total registration. Most reception and networking areas only need table space for 40 to 50 percent of the people in the room, because the rest are moving, in line, or talking in open floor space. At about seven guests per six-foot table, that gives a working starting point:
| Peak guests in the area | 6 ft communal bar tables | Bar stools at 6 per table |
|---|---|---|
| 50 | 3 to 4 | 18 to 24 |
| 100 | 6 to 7 | 36 to 42 |
| 250 | 14 to 18 | 84 to 108 |
| 500 | 29 to 36 | 174 to 216 |
Treat these numbers as a first pass for your communal bar table rental. Send us your peak count and floor plan and we will confirm table and stool counts with your quote.
Standing or seated: should you add bar stools?
For a cocktail hour of an hour or less, most guests stand, and open tables keep the room moving. For longer networking blocks, sponsor lounges, and expo cafés where people answer email or take calls, stools make the tables far more useful. A common approach is to stool some tables and leave others open, so the area works for both quick conversations and longer stays.
Pair communal tables with stools from our bar stool collection, which includes the Ashton, Payton, Stella, and Scoop families in several finishes.

Layout ideas for networking areas
- Long runs: line up two to four Bali tables end to end to make one 12 to 24 foot communal bar along windows, a sponsor wall, or a stage edge.
- Islands: spread single tables across an open floor, with highboys between them, so groups have places to land without blocking traffic.
- Near the bar, not in front of it: set communal tables back from the bar so drink lines do not run through seated guests.
- Room to pull out stools: leave about five feet between parallel runs so stools can pull out and people can still pass.
- A lit focal point: use an illuminated communal table or the 12 ft serpentine as the centerpiece of an evening reception.
Plan for accessibility, too. Bar-height tables are 42 inches high, which does not work for every guest. The 2010 ADA Standards call for at least 5 percent of seating and standing spaces at dining surfaces to be accessible, with surfaces 28 to 34 inches high. Mixing in some standard-height café tables keeps your networking area open to everyone.
Choosing a finish

What your venue and show will ask
- Weight: Bali tables weigh about 64 lb each. Illuminated tables are heavier: about 108 lb for the 6 ft, 132 lb for the 8 ft, and 200 lb for the serpentine. This matters for freight elevators and load-in paths.
- Power: illuminated tables are lit from inside. Mark their locations on your floor plan and we will confirm power needs with you.
- Move-in and move-out: our crews work inside your venue and show schedule, and we provide certificates of insurance and follow venue and union labor rules.
- Lead time: most large programs are quoted and reserved three to six weeks before the event.
